LOCATION: Onsite, NRA Headquarters, M-F
SUMMARY: Provides complete administrative support to the Office of the President to ensure efficient operations while maintaining and enhancing office goals and objectives. Efficiently coordinates activities in support of the President, Office of the President and First and Second Vice Presidents. This is a high-profile position requiring considerable autonomy, confidentiality, political savvy, diplomacy and tact. Pre-employment background check is required.
ESSENTIAL RESPONSIBILITIES:
1) Provide complete administrative support to the Office of the President. Duties include, but are not limited to:
a. anticipation of needs and taking appropriate action and/or propose solutions on a proactive basis
b. screening telephone calls, mail and visitors to the Office of the President;
c. producing error-free executive-level correspondence;
d. service as Budget Coordinator for the department; and
e. scheduling all travel arrangements
2) Set and maintain travel and event schedules. Additionally:
a. monitor travel arrangements to effect needed changes to accommodate cancellations, re-scheduling of events and/or flights, or other scheduling impacts.
b. brief President and Vice Presidents prior to travel and event attendance such that each officer is fully prepared and able to focus on the purpose of the trip or event.
3) Provide on-site support to the President and Vice Presidents during NRA Annual Meetings and local or off-site NRA Board meetings (approximately three weeks per year in all).
4) Ensure complete briefing of the President prior to appearances, important meetings, and when current events dictate a need. Gain and convey a thorough knowledge of the facts and political ramifications surrounding meetings, speeches, interviews or other events. Briefings should include, but are not limited to, names and background information of principals, likely topics of discussion, and identification of controversial issues which may arise. Arrange briefings by another NRA staff member or other informed persons as appropriate.
5) Assist and promote public affairs and press aspects of the President's Office. Maintain close, harmonious and effective relationships with NRA public affairs professionals and outside service providers.
6) Demonstrate appropriate assertiveness and political sensitivity necessary to effectively navigate internal, external, political, business, vendor and affiliate.
7) Maintain professional demeanor and effectiveness in the face of conflicting deadlines, tense interactions, and stressful workplace demands.
8) Manage all expense reporting for the Office of the President.
9) Travel locally and nationally, including evenings and weekends, as required.
10) Remote availability may be required during evenings, weekends and holidays.
SCOPE: This position involves contact and interaction with high-level executives, to include: NRA officers and other executives, senior public officials, corporate executives, NRA members and the general public.
EDUCATION AND EXPERIENCE: College degree and three to five years executive-level support. Prior experience in a politically sensitive position is helpful. Additional experience in lieu of a college degree will be considered.
KNOWLEDGE, SKILLS, ABILITIES: Confidentiality is essential. Strong PC skills (MS Word, Excel, PowerPoint, Outlook, etc.), excellent attention to detail and exceptional communication skills (oral and written). Demonstrated effective organizational and planning skills. Capacity to work effectively and efficiently without close supervision. Ability to discern and act upon potential problems, obstacles and/or impediments to success of the President and the Office of the President. Knowledge of internal NRA operations, firearms, firearms-related issues, and surrounding political environment sufficient to provide understanding of business matters directed to the President's Office. Appropriate assertiveness and ability to persevere in the face of obstacles to meet the President's needs. Must possess strong personal initiative balanced with a respect for internal and external political considerations. Diplomacy and tact are essential. Equally effective as a team player and individual contributor. Overnight, weekend, and holiday availability and travel required.
